Room Reservation Policies
---------------------------------------

1 CCC room reservations are for UCSD affiliated students, staff and faculty members. Reservations can be made for free and open community events.  In order to build community with our users, we ask that all groups reserve 10-15 minutes of their program time for a CCC representative to make a presentation to the group.
2 All student organizations reserving space at the CCC must be registered Center for Student Involvement organizations. If an unregistered group wishes to use the space, the meeting/event must be co-sponsored by either a UCSD department or a separate registered student organization.
3 All groups who meet and hold events in the Cross-Cultural Center must have missions that align with ours. Read about our PLACES reservation and programming philosophy.
4 The Cross-Cultural Center is closed from 5pm Friday to 9am Monday, so space is not available for reservations during this time. Exceptions may be made for special events, with CCC staff approval. Please contact the Cross-Cultural Center at 858.854.9689 for more information.
5 Groups may not reserve the space for reoccurring meetings/events on Friday nights and/or weekends.
6 Groups may not reserve more than two reoccurring meetings per week.
7 All reservations are tentative until an event/room reservation form is filled out completely, turned in, and confirmed.
8 The CCC reserves the right to make modifications to your reservation, including time and room, for CCC programming purposes.
9 Reservations are taken on a first-come, first-served basis, unless you are a CCC Affiliate. Affiliates receive priority room reservations.
10 The use of kitchen facilities TV, DVD player, the overhead projector, and projector screen may be available upon request, with restrictions.



To Reserve a Room

1 You can now reserve a room online! We are transitioning to EMS, an online reservation system.  Begin by going to http://cccenterreservations.ucsd.edu/.  Scroll to the bottom of page to log in.
2 Apply to be a user with your UCSD email.  You will get a confirmation email from the Cross-Cultural Center within two business days stating you are now a user.
3 Request your reservation! Please look carefully at all options and drop boxes. Important to note is that this is a request, not a confirmation.

ALL users are responsible for their own room set-up and clean-up.  Please include time to do so when filling out your start and end time for your room reservation.

If your organization/department is not a registered CCC affiliate
, please also email us the following information:
-  How and in what ways your group aligns itself with the philosophy of P.L.A.C.E.S.
-  How your event or activity will contribute to social justice at UCSD
4 You will receive an email within three working days on the status of your request.  If you do not hear back, please contact us. 
5 You can make any changes or cancellations on the reservation website.  Please download and read the CCC User Policies prior to your event.
6 If you are having difficulties with EMS, please print and fill out the CCC Event Room Reservation Request form.  Submit the form via email or fax the completed copy to 858.822.0173.


On the Day of Your Meeting/Event

1 Once you arrive, ask a CCC staff member for help if you don’t know where your room is.
2 If the group before you is running late and still in the room, please politely let them know that you need to start setting up for your event, OR notify a CCC staff member who will then let them know.
3 If you arrive and the group before you is gone, but the room is a mess, please notify a CCC staff member so we can help clean up and so that your group will not be held responsible for the mess.
4 If you reserved any AV equipment, extra furniture, or white boards, they should already be in your room when you arrive. If not, notify a CCC staff member and your equipment will be set up.
5 If you are using UCSD catering, please be very specific about what time they can come to set up when you make your food order. Let them know the earliest time the room will be available for them to set up your food.
6 After your event, put back all furniture where it belongs. Throw away trash and recyclables in their respective bins. Any large trash or recycling items must be taken out to the dumpster. DO NOT leave large items on top or next to trash/recycling bins.
7 If there were any spills on tables, ask a CCC staff member for cleaning spray and paper towels. If there were any spills on the floor, ask a CCC staff member for the vacuum.
